Make the enquiry understandable before the next conversation

A useful handover gives the receiving colleague a concise account of why the person contacted the firm and what administrative step has been arranged. It should not attempt a legal analysis. Preserve the broad request, relevant contact arrangement and outstanding questions using the firm’s approved process. A long transcript can contain all the information and still make preparation difficult if nobody has identified the next action. Conversely, a short summary can be misleading if it turns uncertainty into a confident category. The working record should be factual, limited and easy to interpret.

Ask staff which screen or notification they normally use before responding. Design the handover for that actual working view rather than assuming they will search every connected system. A technically successful CRM connection does not prove useful information reaches the right person in a usable form. Confirm which fields, notes and supported links are available, and agree any manual responsibility honestly. The objective is a dependable transfer of context and ownership, not a promise that every system can exchange every type of information automatically.

Distinguish source information from conclusions

Record customer-supplied facts as supplied and leave unknowns visible. A person may use a broad phrase that needs professional interpretation; preserve the wording instead of silently choosing a legal conclusion. If the enquiry includes a stated date, keep that information and the firm’s review status clear without calculating significance. The next colleague should see what remains for them to decide. Avoid filling fields with plausible defaults merely to create a complete-looking profile. Accuracy and clear limits are more useful than the appearance of certainty at an administrative stage.

Corrections need to reach the working source. If the person updates a contact detail, changes the description or supplies information requested through the approved route, show which version is current. An old summary can continue misleading staff even when a profile field has been corrected elsewhere. Check the outward appointment message as well as the internal record, particularly where a change affects location, format or contact preference. The handover should help the next conversation begin from the latest information rather than require the person to correct the same detail repeatedly.

Keep contact preferences visible where they are used

A contact restriction hidden in a transcript may be missed by the colleague preparing a reply. Put the relevant approved preference in the working view used for contact and ensure any reminder process follows it. Do not assume that a supplied telephone number overrides an expressed request for another route. Where information conflicts or the supported system cannot apply a restriction as expected, use a personal review rather than silently choosing the default. The person receiving the handover needs both the request and any unresolved practical limitation.

Show status and ownership separately

A record can be received without a review being completed, and an appointment can be requested without being confirmed. Use statuses that reflect the firm’s actual process and identify the role responsible for the next action. Do not treat every completed message exchange as a resolved enquiry. If a professional review is pending, make that visible to scheduling staff so a generic invitation does not imply acceptance. The firm decides the professional outcome; the administrative system should make it easier to see where the request is and who must act next.

Give exceptions an explanatory handover

A flag should say why the item needs attention. A broad urgent label or a note saying complex enquiry leaves the recipient to reconstruct the issue. Include the relevant wording, source and expected administrative response. Use the firm’s approved route for sensitive information rather than duplicating detail indiscriminately across notifications. If another person takes over, record that ownership change and stop routine messages that would contradict the personal response. A handover is not complete merely because a notification was sent; follow the firm’s defined completion point.

Test with fictional records for an ordinary initial enquiry, an existing-client message, a correction and a request needing personal review. Give the receiving colleague only the view they would normally use. Ask them to explain the purpose, current status and next action, then compare that with the original exchange. The exercise can reveal missing context or misleading summaries more effectively than checking whether each field contains text. A useful handover should support the person doing the work without requiring them to know how the automation was configured.

Check an example beyond the standard path

Consider a record labelled simply new enquiry, while the original conversation includes a request for email-only contact and a question for a particular practice team. If those details remain hidden elsewhere, the receiving colleague may take an inappropriate next step despite having a CRM record. The transfer needs the relevant meaning, not just the event that a conversation occurred. Put the purpose and contact arrangement where staff actually prepare their reply.

Now add a correction to the broad description after a slot has been requested. Check whether the latest wording reaches the assigned person and whether the appointment still follows the firm’s approved process. The system should not silently preserve an old classification because the booking stage is already complete. A clear update with an owned review can be the right result. This test helps distinguish a useful working handover from a static summary created once and never reconciled with the ongoing enquiry.

Review the transfer as an operational service

Ask staff which details repeatedly have to be rediscovered and which parts of the note create unnecessary noise. Keep the essential purpose and action prominent, with supporting context available through the approved system. Review after substantive changes to services, roles or connected tools. An old mapping can continue creating records while sending information to the wrong place or omitting a newly important status. Assign an owner for maintaining the handover so correctness does not depend on individual colleagues compensating for problems informally.

Galaxy SaaS Agency helps organise enquiry response, agreed intake, follow-up, appointment coordination and reminders, with supported CRM connections. For law firms, the handover should preserve administrative context while leaving advice, checks and acceptance decisions with the responsible team. Review correct ownership, accurate information and suitable bookings separately from later matter outcomes. A connected record is valuable when it helps staff respond coherently and respects the person’s contact arrangement, not simply because a CRM entry was created quickly.
